Job Summary:
This role supports logistics operations by managing outbound truck scheduling, resolving shipment-related issues, and providing direct support to truck drivers from check-in through departure. The position ensures efficient coordination with carriers, accurate scheduling, and a high level of service to both internal teams and external partners
Job Responsibilities:
Including, not limited to:
- Coordinate with transportation carriers to schedule outbound shipment appointments in alignment with established guidelines via phone and email.
- Enter and maintain accurate scheduling information within the scheduling system.
- Monitor daily truck schedules and make adjustments as directed to ensure operational efficiency.
- Address and resolve carrier-related service issues, including scheduling conflicts and missed customer requirements.
- Track and evaluate carrier performance, including adherence to appointment times, delivery schedules, equipment standards, and safety compliance.
- Provide support to truck drivers throughout the check-in, loading, and check-out processes.
- Assist team leadership and loading personnel in researching and resolving shipment discrepancies or issues.
- Utilize camera systems and other tools to investigate and respond to shipment inquiries.
- Maintain accurate shipping records and prepare daily and weekly reports.
- Ensure printers are stocked and operational; order supplies; submit maintenance or repair requests as needed.
- Maintain and replenish truck driver lobby supplies and materials.
- Manage and track truck driver surveys and feedback.
- Order and maintain necessary office and operational supplies.
- Assist with truck driver engagement and appreciation initiatives.
- Perform administrative support tasks such as scanning documents, creating labels, entering gate passes, and laminating materials.
- Complete additional duties and special projects as assigned.

Physical Requirements:
- Ability to tolerate prolonged sitting or standing.
- Ability to type using both hands.
- Reach, squat, bend from trunk, and carry objects.
- Lift/carry supplies of various dimensions and weights.
- Push/pull.
Requirements/Skills:
- High school diploma or equivalent required.
- Bilingual skills are preferred but not required.
- Strong administrative experience with a high level of accuracy and organization.
- Excellent customer service skills with the ability to build and maintain positive relationships.
- Strong written and verbal communication skills, with the ability to clearly convey information across multiple interactions.
- Ability to work effectively in a team-oriented environment.
- Proven ability to collaborate with cross-functional teams and external vendors.
- Strong problem-solving, analytical, and auditing abilities.
- Ability to manage multiple tasks and prioritize in a fast-paced environment.
- Proficiency in computer systems, including complex spreadsheets and database applications.
- Ability to operate standard office equipment (e.g., printers, copiers, fax machines).
- Self-motivated and goal-oriented with demonstrated initiative, creativity, and confidence.
- Working knowledge of TXDOT regulations is required.
